We currently have a **Regular Full-time **opportunity for a **Administrative Assistant **in the** Volunteer Resources department **at our **Bayview **Campus.
**Hours of Work:
**Weekdays**:
Days, 8 hrs, some flexibility required during evenings and/or weekends for special events.
**Role Overview**:
**Summary of Duties**
- Responsible for all administrative functions related to recruitment, on-boarding and requirements for volunteering, utilizing various digital platforms, including VsysOne, SurveyMonkey, etc.
- Works collaboratively with VRCs to develop components of the volunteer engagement cycle to fulfill quality &
best practices of volunteer program
- Plans, coordinates, executes and evaluates a variety of events, including recognition and awards, education and training workshops, etc. for volunteers.
- Compose drafts and final edits of timely and concise communications to volunteers, regarding hospital and VR information, upon review of Director, Volunteer Resources.
- Designated I.T. local systems administrator and team lead of volunteer management database "
VSys One"

utilizing Microsoft One Note to maintain user manual
- Accountable for inventory control/departmental expenditure consolidations (uniforms, IPAC supplies, software/hardware, etc.) using SAP Concur corporate, SRM supplies order system, Dimensions timesheets, Foundation gateway, etc.
- Coordinate review process of volunteer role proposals by Volunteer Resources, Risk Management, Human Resources, Infection Prevention &
Control, and Privacy Office
- Schedule hybrid meetings using Zoom and Room Manager, Catering Services and oversee department calendar and complete meeting minutes.
- Produce variety of departmental materials and documents including training materials, PowerPoint presentations, signage, fillable forms, surveys, etc.
- Ensure accurate and current information on both external and internal websites (liaison with Digital Communications Team and using Content Clarity Management for Sunnyet)
- Work collaboratively with the Toronto District School Board High School Cooperative Education Program Leader - partnered with Volunteer Resources.
- Staff coverage at various sites
**Qualifications / Skills**:
- University/Community College graduate preferred
- Excellent public relations, communication, interpersonal and customer service skills
- Strong organizational and time management skills
- Ability to prioritize, and complete time sensitive tasks
- Initiative, ability to work independently, as well as a member of a team, that covers all sites of Sunnybrook
- Adaptability, flexibility, as well as ability to respond to changing and competing priorities in an interrupt-driven environment
- Demonstrates excellent judgement, tact, and diplomacy
- Minimum 3 years experience in an administrative role
