**Overview**
The Assistant Controller and Payroll Administrator is responsible for ensuring the successful completion of weekly, biweekly, semi-monthly, and monthly payroll cycles for hourly, salary and commissioned employees. Additionally, the Assistant Controller and Payroll Administrator provides ongoing support of all full cycle accounting functions to the Controller. The Assistant Controller and Payroll Administrator takes direction and is accountable to the General Manager and Controller.
**Qualifications/Skills Required**
- Exceptional multitasker and time manager;
organized
- Accounting experience with automotive accounting
- Post-Secondary in Business Administration or working towards your designation is an asset
- Excellent knowledge of accounting, financial processes, and full cycle accounting (budgeting, financial statements, reporting etc.)
- Strong keyboarding skills and proficiency with Excel is a must have
- Working knowledge and experience with financial data analysis is an asset
- Payroll experience with PayWorks or similar payroll system
- Working knowledge of federal and provincial tax compliance regulations and reporting
- Ability to adapt, undertake multiple tasks and respond to changing priorities is imperative.
- Experience with CDK, Reynolds or PBS is an asset
- Diplomacy, tact, and confidentiality in dealing with a variety of people and information.
- Ability to find solutions and resolve conflict
- Excellent communicator with exceptional oral and written skills
- Exhibits sound judgment, empathy, and integrity

- Full understanding of regulations, laws and required compliance in the Automotive Industry including HR (Human Resources) policies and procedures
**Primary Responsibilities**
Payroll and Benefits Administrator
- Calculate and prepare payroll cheques for salary, hourly and commissioned employees
- Records management of personnel files, including on boarding/off boarding forms, changes, and updates to personnel records (payroll and benefits);
ensure all files are current
- Monitor changes and updates to payroll-related legislation
- Produce any required or requested payroll reports, ROE’s, reference letters etc.
- Lead the preparation and reconciliation of year-end reporting, including the printing and reconciling of T4’s.
- Provide timely responses to management and staff regarding payroll and benefit inquiries
- Administration of employee benefits, including commencement, changes, leaves, and termination
- Lead the annual group benefit renewal process.
- Complete, reconcile and submit payroll tax forms, workers’ compensation forms, benefits forms, and remittances for all
- Provide required support to the Controller related to payroll and benefits (GL accounts, payroll payables, audits, etc.)
Assistant Controller
- Provide back-up for the Controller as required with full cycle accounting activities
- Reconcile monthly inter-company transactions to ensure proper accounting treatment, bank statements
- General data entry and deal posting
- Manage and monitor all accounts, ledgers, and financial reporting systems to ensure compliance with required internal and regulatory standards
- Maintain internal control safeguards for revenue, expenses, and budgetary management
- Maintains and balances GL accounts as directed by the Controller, some mapping may be required and schedule management
- Assist in the month end closing process, including the preparation of month end journal entries and financial statements
- Compile the company’s day-to-day finance and accounting operations, including the functions of financial reporting, data analysis, accounts payable, accounts receivable and payroll
- Assist the Controller by overseeing accounting, billing, collections, and financial reporting functions
- Assisting in the formulation of internal controls and policies to comply with legislation and established best practices.
- Coordinate the provision of information to external auditors for the annual audit if required
- Follows all current company policies, processes, and procedures;
- Comply with any WorkSafe requirements, and safety protocols;
- Support of all other dealership operations including Fixed Operations and Accounting to promote cooperation and a team environment;
- Undertake all other tasks that may be delegated to you under the supervision of the General Manager and Controller
