Position Overview:
The National Payroll Institute (“Institute”) has an exciting opportunity for a Bilingual Volunteer Coordinator in our Event Management department. This position is responsible for supporting a positive volunteer experience through ensuring all pertinent documentation and volunteer requirements are kept up to date.The Bilingual Volunteer Coordinator will report to the Director, Corporate Development and Events Management and will focus on implementing best practices for volunteer management across the organization.What you will be doing:
Volunteer Stewardship and Record ManagementMaintains volunteer records on each volunteer.Monitors and tracks volunteer terms and ensure all documentation has been signed and filed.Tracks policies and procedures relating to volunteer involvement, supporting consistent practices in each area.Support identification of volunteers risks and supports risk mitigation strategies.Generates and assesses statistical reports related to volunteer resources.Ensures managers complete evaluation of volunteers, volunteer programs and department resources in accordance with policiesUpdates the Volunteer Handbook to mirror the approved templates (includes key responsibilities, policies, etc.)Volunteer Recruitment and RetentionEnsures templates are provided and utilized by volunteer leads to ensure position descriptions are developed in a consistent manner.Coordinates advertising available positions through call for appointment/nominations process and/or posting on volunteer portal.Documents and tracks the placement of volunteers.Maintains a national calendar of volunteer activities, meetings, networks &
shares etc.Provide Volunteer Orientation and TrainingSchedules and tracks consistent onboarding procedures for each volunteer. E.G.:
ADOA training and any other legislated training.Schedules applicable orientation for new volunteers.Equity Diversity and Inclusion/Awards Committee CoordinationCoordination and scheduling of Volunteer Advisory Group or Committee meetings including the materials, meeting agendas, notifications, and meeting minutes/notes;
drafts and prepares official minutes/notes and prepares recommendations to Board of Directors, Management or other Committees, and acts as recording secretary;
plans and determines agendas.Administrative SupportResponds to telephone and email inquiries.General administrative support (i.E., printing, filing, mailing, photocopying).Manages Volunteer PerformanceCommunicates if volunteers require additional support to fulfil their assignments/roles.Monitors volunteer and staff satisfaction and reports appropriate concerns to volunteer leads.Confirms volunteers have received feedback on their performance.Ensures volunteer leads conduct volunteer evaluations and corrective action procedures as required.Recognizes Volunteer ContributionSupports and implements annual Volunteer Recognition PlanExplores recognition options, and volunteer preferences such asAssists in tracking active Volunteers and holiday gift coordination.Coordinate National Volunteer Week email.Some of the qualifications and skills we are looking for include:
Fluently bilingual is required in English and French, both written and spoken.Post-secondary education – College diploma or bachelor’s degree in administration, project management or related experience.2 years’ experience in volunteer/key stakeholder coordination administration is preferred.A minimum of one-year experience supporting volunteer services in a non-profit organization is a plus.Certification in Volunteer Administration (CVA) is an asset.Intermediate knowledge of MS Office:
(Excel, Word, PowerPoint, Outlook, CRM systems) social media, and online platforms.Strong relationship management skills with internal or external stakeholders.Ability to achieve results in a fast-paced, deadline-oriented environment.Demonstrates a strong sense of urgency.About the Institute:
