What you will be doing:
Consistently offers professional, engaging and friendly serviceProvides administrative assistance to the Director of Food and Beverage and Assistant Director of Food and Beverage to ensure the efficient day to day operation of the food and beverage division Is responsible for collating the daily figures for the daily operations meetings Is responsible for tracking RPS scores and follow up with guests Is responsible for SAQ auditing accounting Maintains an up to date folder for weekly forecasts, operating hours and group resumes Answers all Food and Beverage office incoming telephone calls including the Director of F&
B external calls and ensures prompt delivery or action of messages and enquiries Keeps the F&
B management contact list updated and distributes accordingly Is responsible for internal and external mail for the Food and Beverage office Maintains an effective, efficient and up-to-date filing system inclusive of F&
B keys Minutes the weekly Food &
Beverage meetings and transcribes the minutes for circulation accordingly Responsible for the ordering and maintenance of all stationary supplies To process all non food/beverage Purchase Orders for products, supplies and licenses within the Food &
Beverage department Ensures proper invoice routing and generates cheque requests for applicable vendors and distribute Is responsible for the overall cleanliness, organization and maintenance of the food &
beverage office Coordinate all internal maintenance and external service contracts with third party contractors/service providers as they relate to the Food &
Beverages departments Coordinates and tracks all gift certificates for the Food and Beverage division Liaises with F&
B managers &
Chef?s for Food &
Beverage menu updates and maintenance;
development, design, editing and printing of menus and specials Ensures a smooth roll out of all menu changesChampion of Attendance Enterprise HoteI payroll system for the Food &
Beverage department.Responsible for the daily maintenance and bi-weekly submission of the Food &
Beverage departmental payroll, including gratuities, Statutory Holidays and Annual Vacation Maintains the Food &
Beverage management vacation calendar &
binder for approved time off requests Maintains Food &
Beverage colleague status by assisting F&
B managers with necessary paperwork Support Food &
Beverage team in absence of leaders Support with Open Table reservations and System configuration Act as a member of Health and Safety committee Develop and maintain close and effective working relationship with all supporting departments.Assist guests and colleagues with any special requests they have Maintains the strictest confidentiality at all times on all matters pertaining to management, staff and any associated food and beverage matters Perform other duties as directed by the Director of Food and Beverage or HoteI ManagementOther duties as assigned
Your experience and skills include:
High School diploma Previous experience in a HoteI and a Food &
Beverage environment essential Previous experience in an administrative role essential Detail oriented with excellent communication and organizational skills Creative, self-motivated and energetic team-player able to perform under pressure Master in computer literacy, Office, Adobe, Menu design Knowledge of SILVERWARE Knowledge of Fairmont Hotels Birchstreet, Attendance Enterprise, OpenTable, Property Manager &
NetVu Point all assets,Sales and Catering
