Hello! We are Pacific Ropes, a rope access training and contracting company. You might be curious about what rope access is. Rope access is a way to access difficult-to-reach locations to perform repair, maintenance and construction services. It's often used in the place of scaffolding. At Pacific Ropes, we provide rope access services, and also train people to become rope access technicians. We are looking for a wonderful administrator to join our team and to keep us all in check!
The office administrator provides day-to-day administrative support to the Pacific Ropes team. They are responsible for managing the office to ensure the office runs smoothly and efficiently. As the first point of contact for clients, vendors, and colleagues, the office administrator will also be responsible for upholding a friendly and professional company image.
**Tasks &
Responsibilities**
- Answer/direct calls and take down messages. Provide customer service to people calling in.
- Receive and process rope access training registrations and certifications.
- Prepare invoices and handle payments.
- Co-ordinate class roster for instructors and assessors.
- Assist in taking photos during training.
- Prepare course materials before each training session.
- Book flights and hotels for team members.
- Record minutes during meetings and distribute to all relevant parties.
- Coordinate and manage company events such as wrap parties, training courses, hiring fairs, staff events, and conferences.
- Analyze internal processes and recommend procedures and policies to improve operations
- Research and find potential vendors.
- Manage relationships with outside vendors to ensure availability of supplies and efficient resolution of issues.
- Coordinate agents, contractors and other visitors to ensure access is given and working space is arranged when needed.
- Coordinate incoming and outgoing mail including deliveries and package tracking.
- Manage and maintain office equipment, bathroom supplies, and kitchen supplies.
- Assist in maintain cleanliness of common work areas.
- Co-ordinate opening and closing of our office building.
- Perform general office duties such as photocopying, filing, data entry, and scanning.
- Create, format and edit company documents.
- Maintain office calendars.
- Document control.
- Additional duties as assigned.
**Skills and Experience**
- Have at least two years of experience doing administrative work in an office environment.
- Super-duper at paying attention to detail.
- Friendly and can easily engage in conversation with our students, clients, and suppliers.
- Can learn quickly. Basically, you don’t need to ask the same things over and over again.
- Can set goals and process to achieve the goals.
- Understands the concept of prioritizing and can be efficient in it during strict deadlines.
- Can understand the bigger picture and how each of the small tasks fits into that bigger picture.
- Professional and organized.
- Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent communication and interpersonal skills (written and verbal).
- Team player and service oriented.
- Can work well alone, self-motivated.
- Exceptional research, analytical and critical thinking skills.
- Possess a valid BC driver’s license.

$18.00-$25.00 per hour
