**Nature &
Scope**:
Reporting to the Manager of Capital Projects &
Administration, this position will be responsible for ensuring all YMCA BC’s facilities are in compliance through the Computerized Maintenance Management System (CMMS).This role will be integral in accurately capturing, inputting and maintaining all relevant information in the database.
**Major Responsibilities**:
- Coordinating with multiple stakeholders, this role will work with tracking and recording all relevant data while accurately and meticulously inputting this information into the CMMS software.
- Ensure compliance with all relevant facility management regulations, codes, and standards.
- Develop and maintain a comprehensive CMMS database of local, provincial, and federal regulations pertaining to facility management.
- Integrate Building Condition Assessments and Capital Maintenance project completion data into the CMMS.
- Monitor CMMS for outstanding work, completion on time success rates and key metrics and generate performance reports.
- Collaborate with cross-functional teams to implement regulatory compliance strategies and processes.
- Conduct regular audits and assessments to identify areas of non-compliance and develop corrective action plans.
- Monitor changes in regulatory requirements and update facility management policies and procedures accordingly.
- Manage and maintain records and documentation related to regulatory compliance, ensuring accessibility and accuracy.
- Coordinate with external agencies and auditors for inspections and compliance reviews.
- Provide training and guidance to facility management staff on regulatory compliance best practices.
- Analyze and interpret data to identify trends and issues related to regulatory compliance.
- Manage work demand forecasting and allocation for facility management services.
- Collaborate with operational teams to prioritize and schedule maintenance, repairs, and other facility-related work.
- Utilize data-driven approaches to optimize resource allocation and efficiency in addressing work demand.
- Develop and maintain key performance indicators (KPIs) to measure and report on work demand and completion.
- Continuously assess work demand processes and recommend improvements for greater productivity and cost-effectiveness.
- Monitor budgets related to facility management work demand and provide financial insights for decision-making.
- Ensure a safe and healthy work environment by promoting compliance with health and safety regulations.
- Stay up to date on industry trends and best practices related to facility management and regulatory compliance.
**Qualifications/Experience**:
- 3-5 years of experience in a relevant position managing a CMMS system
- Building trades or technology training considered an asset.
- Knowledge of BC Building Regulations, CSA and ULC considered an asset.
- Ability to work independently in a fast-paced environment with a large complex database.
- Strong attention to detail with a natural pride in one’s work.
- Excellent interpersonal and communication skills.
