CATERING COORDINATOR**
**THE ROLE**:
**BECOME A PART OF OUR DYNAMIC TEAM - **The Sales &
Catering Coordinator provides administrative support to the DOSM, Sales, Catering and Revenue Team with a focus on group housing.
**ACTIVITIES**:
The Duties of the Sales and Catering Coordinator are, but are not limited to the following:
- Provides administrative support to the Director of Sales, Revenue Manager, Catering and Conference Managers, Sales Managers and General Manager.
- Meets with clients upon arrival and/or during function to ensure positive guest experience
- Participates in tradeshows and client functions as required
- Monitors property management systems to ensure bookings are up to date
- Maintains and orders all office supplies
- Ensures the Sales and Catering office operates efficiently at all times
- Provided administrative support for the hotel including distribution of mail
- Reserves both group and transient reservations
- Supports the front office during busy periods to assist when necessary (Check-in, Check
- out, Reservations)
- Supports the Armouries Grille to accept reservations during popular brunch times
- Completes a variety of weekly and month end reports,
- Produce, design and create flyers, social media posts, videos, menu creation.
- Must have valid drivers licence and personal transportation
- Performs other tasks as assigned by Management
- Performs all reservations for Contra, Suites and Comp room Bookings
- Assists with the athletic Segment, including booking teams, setting up commission, managing blocks.
- Manages all aspects of Group Housing including:
- Building group blocks in Opera
- Creating online links for call in blocks
- Entering in all rooming lists
- Ensure commission is set up where applicable
- Managing CI/TY including:
- Catches all leads and assigning them to appropriate manager
- Performs Data Quality Audit Checks (run on a constant basis to ensure DQI passing score of 100%) and makes corrections when needed.
- Actualizes all quotes in a timely manner
- Rewards all “Rewarding Events Points” to qualifying functions using the Group Posting Tool
- Must communicate all service outages or issues with CI to team and keep up to date on all “Reporting Rockstar” webinars and communications.
- Cover portions of sales department managers duties during their vacations
- Prepare Routing for group or transient reservations as requested.
- Perform Site Tours for all segments when a sales manager is not available
**COMPETENCIES WE ARE SEEKING**:
- Diploma in Hotel Management Studies
- Marriott experience a definite asset
- Previous 1-2 years professional experience in the hotel market
- Demonstrated experience in achieving goals
- Excellent communication and organizational skills
- In-depth knowledge of computer programs
- Exceptional organizational and communication skills
- Preferable to have an understanding of Opera, MARSHA and CI/TY
- Attention to detail and the ability to work well under pressure are critical
- Maintains a professional image at all times.
- Excellent written and verbal communication skills
